Return & Warranty Policy – ECM ENGINEERING LLC
At ECM ENGINEERING LLC, we provide electronic control modules (ECMs) programmed and delivered ready for installation. To ensure transparency, the following warranty and return conditions apply.
1. ECM Hardware Warranty
A one-year limited warranty from the delivery date covers all ECMs (hardware) sold by ECM ENGINEERING LLC.
- This warranty applies only to internal functional or manufacturing defects.
- It becomes void if the ECM shows physical damage, misuse, tampering, or unauthorized intervention.
2. Programming Service Warranty (Custom Tuning)
- The programming service is covered by a thirty (30) day limited warranty from the delivery date.
- The Customer must install and test the ECM immediately upon receipt and report any issues in writing within this period.
- After 30 days, no claims, returns, or refunds related to programming will be accepted.
3. Return Authorization
- Returns will only be accepted if previously authorized in writing by ECM ENGINEERING LLC.
- Warranty or return requests must be submitted in writing within the applicable period.
- Return shipping costs are the Customer’s responsibility unless otherwise agreed in writing.
4. General Return Conditions
- Returns are accepted only within the first 30 calendar days from the delivery date.
- The ECM must be in good physical condition — no signs of damage, mishandling, burns, moisture, or unauthorized modifications.
- ECMs that have been installed or used are subject to a technical inspection before any refund is approved.
5. Partial Refund for Voluntary Returns
If a customer wishes to return an ECM for reasons other than a defect, and the product has been used, they may qualify for a partial refund under the following conditions:
- The return is requested within 30 days of receipt.
- The ECM is in acceptable condition and can be reprocessed for future use.
- Each ECM is custom-programmed with the customer’s serial number or VIN, which incurs non-recoverable software licensing costs.
Voluntary returns are subject to a fixed deduction from the total value to cover programming and handling expenses.
6. Free Reprogramming for Initial Failure
If the ECM does not function properly upon initial installation, the customer may request free reprogramming under these conditions:
- The ECM must be returned undamaged and without signs of improper installation.
- The customer must provide technical details and diagnostic data.
- The return must be initiated within 15 calendar days of receipt.
ECM ENGINEERING LLC covers reprogramming and reshipping costs, but not installation, removal, or transportation expenses.
7. Products Not Eligible for Return
- ECMs that have been altered, tampered with, or damaged by third parties.
- Units with burns, bent pins, broken connectors, or damaged circuits.
- Modules purchased under special “final sale” promotions.
- Units with removed or altered serial numbers or labels.
8. Return Procedure
- Contact ECM ENGINEERING LLC in advance via email or phone, explain the reason, and attach supporting evidence (photos, scans, etc.).
- Once approved, you will receive instructions and a Return Merchandise Authorization (RMA).
- After receipt, ECM ENGINEERING LLC will conduct a technical evaluation within 3–5 business days and provide a report with the resolution.
9. Important Notes
- ECM ENGINEERING LLC is not responsible for incorrect diagnosis, installation errors, or damage caused by the customer or third parties.
- Installation or removal costs are not covered under warranty.
- Customers are responsible for return shipping unless the company is at fault.
- Unauthorized returns will be rejected.
10. Programming & Inspection Fees (Refund Adjustments)
Each ECM supplied by ECM ENGINEERING LLC is individually personalized and programmed for a specific VIN, engine serial number, chassis, or application.
Because these programming and calibration processes involve non-reusable customization, a refund adjustment will apply under the following conditions:
Heavy-Duty Line: Standard programming & inspection fee: US $600 / Custom or special programming: US $950
Light-Duty Line (VW, Audi, MB Sprinter): Standard programming & inspection fee: US $120
If a return is requested after installation or testing, these personalization fees will be deducted from any refund amount to cover engineering labor, licensed software usage, and irreversible customization of the module.
To qualify for a refund, the ECM must be returned within 30 days, properly packaged, and free from additional physical or electrical damage.
Units showing user-induced faults, tampering, or altered data may incur extra charges or be rejected for refund.
11. Diagnostic and Repair Terms
By signing a Service Order, the Client confirms that the control module sent for service is defective and authorizes ECM ENGINEERING LLC to perform the necessary diagnostic and repair work.
If the module is repairable and the Client approves the service, ECM ENGINEERING LLC will proceed with the repair, which has its own cost and a limited warranty.
If, after the service, the module does not operate correctly or the Client believes it has an issue, the unit must be returned to ECM ENGINEERING LLC for technical verification after obtaining a Return Merchandise Authorization (RMA).
Once the module is received and evaluated, ECM ENGINEERING LLC may perform a second repair at no additional cost if technically possible. If, after verification, the module is confirmed to be non-repairable or does not meet proper operating conditions, ECM ENGINEERING LLC will refund 100% of the repair fee, provided that all warranty terms and conditions are met as stated at: https://ecmrepairusa.com/terms-conditions/
If the Client chooses not to return the unit for inspection, no refund will be issued, and the case will be considered closed.
The Client understands and accepts that all electronic repairs involve inherent technical risks, and that ECM ENGINEERING LLC is not responsible for any additional damage to modules that were already defective or unstable. The Company’s liability is limited to the amount paid for the repair service.
